Media Library

Use the Media Library when you need to upload, reuse, and manage images used across your club website.

What the Media Library is

The Media Library is the shared image system used in many parts of the Club Management Portal.

Helpful details:

  • You will see it inside image fields across the site, not only in one single place.
  • There is also a standalone Media area in the Club Management Portal that lists uploaded media items.
  • Many image fields let you upload a new image or reuse an image that is already in your media library.
  • Some image fields require cropping before you can save them.
  • The global maximum upload size is 10MB per file.

Where admins usually see it

Common places include:

  • Pages
  • News
  • Promo Blocks
  • Header Images
  • Photo Albums
  • Products in E-Commerce

Helpful detail:

  • Some of these areas also include nearby fields for Alt Text, captions, or other image-specific notes.

What you can usually do in the Media Library

Upload a new image

In most image fields, you can drag and drop a file or click the upload area to select one from your computer.

Helpful details:

  • The file uploads inside the record you are editing.
  • Different fields may show different help text about recommended dimensions or crop ratios.
  • Some fields also show image statistics after upload.

Reuse an image you already uploaded

Many image fields include Use existing media so you can choose a file that is already in the library instead of uploading it again.

This is helpful when:

  • the same logo is used in more than one place
  • the same image appears in multiple content areas
  • you want consistency across the site

Crop an image when the field requires it

Some image fields are set up with required crop ratios.

Helpful details:

  • The scissors icon appears after a supported image is uploaded or selected in a croppable field.
  • The cropper currently works with JPG, JPEG, and PNG files.
  • The exact crop shape depends on the field you are using.
  • For example, some areas use a 4:3 crop, some use 40:21, and some use much wider banner shapes.
  • If cropping is required, complete the crop before saving the record.
  • The field preview updates after you save the crop, but the change is not final until you save the parent record.

To crop an image:

  1. Upload a new image or choose existing media in the field.
  2. Click the scissors icon on the image preview.
  3. Adjust the crop area and rotate if needed.
  4. Save the crop in the modal.
  5. Save the record you are editing.
  6. Review the result on the website so you can confirm it looks right in context.

Use a separate image when the placement needs a different crop

Upload a separate copy instead of reusing the same file when:

  • two placements need very different framing
  • you want to keep an untouched original available
  • the second placement needs edits beyond crop and rotate

Reorder images in multi-image areas

Some areas that use multiple images, such as Photo Albums, let you control display order.

Helpful detail:

  • The saved order affects how those images appear on the website.

Important behavior to know

  • Uploaded media is shared across the club site's content areas.
  • Preview images are generated automatically for image displays inside the Club Management Portal.
  • Some resources store image-related text, such as Alt Text, in separate fields next to the image field.
  • The standalone Media area is mainly a list of uploaded media items, not the place where most page-specific image settings are configured.
  • The Media Library configuration uses cloud storage and automatic image processing behind the scenes.

How to work with media more safely

  1. Prepare and compress your image before uploading it.
  2. Open the content item you are editing.
  3. Upload a new image or click Use existing media if you want to reuse one.
  4. Complete any required crop.
  5. Fill in nearby Alt Text or caption fields when they are shown.
  6. Save the record.
  7. Review the result on the website.

Practical setup tips

  • Pay attention to the help text shown beside each image field, because that is where Clubistry gives the most specific size and crop guidance for that location.
  • Reuse existing media when you truly want the same image file in more than one place.
  • Upload a separate copy when a second location needs a very different crop or composition.
  • Add Alt Text whenever that field is available, especially for important content images.
  • Keep filenames clear on your own computer so it is easier to identify the right image before upload.
  • Stay below the 10MB limit, and usually much smaller than that when possible, for better website performance.

If media is not behaving as expected

Check these items first:

  • the file is under 10MB
  • the record was saved after the upload or selection
  • any required crop was completed
  • the file type is JPG, JPEG, or PNG if you expected crop controls to appear
  • the field actually supports cropping if you expected the scissors icon
  • the image was added to the correct field
  • nearby Alt Text or caption fields were filled in if you expected that text to appear
  • if you reused an image in multiple places, a crop or replacement may have affected more than one location
