Reports
Use Reports to preview data on screen and export CSV files from the main record types in the Club Management Portal.
What report tools are currently available
The current admin menu includes these report tools:
- Member Reports
- Application Reports
- Form Reports
- Pages Report
- E-Commerce Reports
Who can access each report
- Member Reports is visible to admins and users who can manage members or reports.
- Application Reports is only visible to Super Admin, Admin, and Application Manager because it includes applicant data.
- Form Reports is visible to admins and users with report permissions.
- Pages Report is visible to Super Admin, Admin, Content Manager, and users with report permissions.
- E-Commerce Reports is visible to admins and users who can manage e-commerce or reports.
Important current detail:
- Application Reports is intentionally more restricted than the other report tools.
- A report-focused role by itself does not automatically receive access to applicant reports.
The common workflow across report tools
Most report tools follow the same pattern:
- Open the report from the admin menu.
- Apply the filters you need.
- Choose which fields or columns to include.
- Preview the results on screen or download a CSV file.
Helpful detail:
- In the current implementation, if you do not choose any fields, the report exports all available fields for that report.
Member Reports
Use Member Reports when you need a member list for operations, exports, or analysis.
Current filters and options include:
- membership type
- roles
- include lapsed members
- include inactive members
- built-in member fields
- report-enabled member custom fields
Application Reports
Use Application Reports when you need to review applicant activity across one or more forms.
Current filters and options include:
- application form
- application status
- email verification status
- date range
- built-in application fields
- report-enabled member custom fields
Form Reports
Use Form Reports to export submissions from a specific custom form.
Current behavior includes:
- choosing one form first
- loading the available fields for that form dynamically
- including standard submission fields such as submission ID, spam status, date submitted, and member
- adding payment-related fields when that form has payments enabled
- previewing or exporting the results
Pages Report
Use Pages Report to review page records and their visibility setup in one place.
Current filters and options include:
- role-based filtering using page view permissions
- active status
- in-menu status
- parent page
- page fields to include in the report
- role columns so you can display which roles have access
E-Commerce Reports
Use E-Commerce Reports for store-related exports.
The current tool includes two report types:
- Orders Report
- Products Report
Current filters and options include:
- report type selection
- optional product filter
- date range
- selectable fields
- preview and CSV export
Practical workflow tips
- Start with the smallest set of filters you need so the preview loads faster and is easier to review.
- Use the preview step to confirm your columns before exporting a CSV.
- Leave fields unselected only when you really want a full export.
- Use Application Reports carefully because it includes applicant information.
